- Purpose of the Policy
This Guest Policy outlines the expectations, rights, obligations, code of conduct, and terms of service for all guests who visit, book, or participate in any event, function, or service hosted at or by Samarpan Resort & Banquet (hereafter "Samarpan"). It ensures a safe, inclusive, legally compliant, and culturally respectful environment for all individuals. - Scope
This policy applies to:- Guests attending any personal, professional, or social events
- Event organizers or clients who book the venue
- Vendors, suppliers, entertainers, or service providers
- Employees interacting with guests
- Visitors accessing the digital platforms of Samarpan
- Users engaging via website, email, WhatsApp, or other communication tools
- Guest Conduct Guidelines
Guests are expected to:- Maintain decorum, respect, and politeness at all times
- Adhere to Bihar State Laws, including bans on alcohol, narcotics, or other prohibited substances
- Dress modestly and behave appropriately in public or religious settings
- Comply with entry and exit timings, especially for nighttime events
- Avoid damage, misuse, or unauthorized use of property or equipment
- Cooperate with security checks, identity verifications, and staff instructions
- Refrain from any behavior that may cause discomfort, nuisance, or danger to others
- Booking & Guest List Responsibility
- The event organizer/client is responsible for submitting a complete guest list, seating arrangements, and any special instructions at least 10 days before the event.
- Unauthorized or uninvited individuals will be denied access for safety reasons.
- Guests must present a valid ID if requested by security staff or management.
- Alcohol, Narcotics, & Illegal Activities – Strict
Prohibition
In line with the Bihar Prohibition and Excise Act, 2016, the following are strictly prohibited:- Possession, consumption, or distribution of alcohol or intoxicants
- Smoking in non-designated areas
- Gambling or unlawful assemblies
- Gambling or unlawful assemblies
- Immediate removal from the premises
- Filing of a police complaint
- Penalty fees and booking cancellation without refund
- Children & Senior Citizen Guidelines
- Children must be supervised by adults at all times.
- Unsafe behavior (e.g., running near water, equipment misuse) is discouraged.
- Facilities are accessible and senior-friendly, and extra help may be arranged on prior request.
- Photography, Media, and Social Sharing
- Personal photography is allowed; however, commercial or drone photography requires prior permission.
- Guests should avoid capturing others without consent.
- Samarpan may use event photos/videos for marketing or promotion, with due respect to privacy norms.

- Guests engaging in vandalism, harassment, or disruption of
services may face:
- Immediate expulsion
- Permanent blacklist from future events
- Legal action
- Use of Facilities and Amenities
- Guests must respect all common spaces: gardens, banquet halls, lounges, washrooms, etc.
- Any loss or damage caused to property or furnishings by a guest will be chargeable.
- Usage of electricity, AV equipment, décor elements, or other assets should be under the supervision of our staff.
- Emergency Situations and Health Safety
- In case of a medical emergency, Samarpan will offer first aid and help arrange further support.
- Guests are advised to inform staff of any health issues in advance.
- Fire safety, exits, and evacuation plans are marked and must be adhered to.
- Cancellation, Refund & Rebooking
- All bookings, guest lists, and prepayments are governed by our Cancellation & Refund Policy.
- Guests arriving late or leaving early are not entitled to partial refunds unless agreed upon in writing.
- Vendor and Third-Party Personnel Access
- All vendors (florists, caterers, performers, photographers, decorators, etc.) must be pre-approved by Samarpan.
- Guest-provided vendors must submit:
- Government-issued IDs
- No-objection certificates (if applicable)
- Consent to abide by the Alcohol-Free Policy and Venue Rules
- Non-compliance will result in denial of access or expulsion.
- Digital Interactions and Guest Data
- Guests accessing the website, mobile interface, or social pages agree to the Privacy Policy, Cookie Policy, and Disclaimer.
- Booking-related information or reviews may be used for service enhancement and marketing unless opted out.
- No spam, offensive comments, or fake feedback will be tolerated on our digital platforms.
- Indemnity and Limitation of Liability
- Samarpan shall not be held liable for:
- Personal belongings lost by guests
- Unauthorized actions of third-party vendors
- Weather, natural calamities, or government restrictions affecting the event
- Guests agree to indemnify Samarpan against claims or damages resulting from misconduct or breach of policy.
- Samarpan shall not be held liable for:
- Policy Acknowledgment and Acceptance
- Entry to Samarpan premises implies full understanding and acceptance of this Guest Policy.
- In cases of major group bookings, organizers must share and obtain consent from their guests on these terms.
