1. Objective
    This Cancellation & Refund Policy outlines the terms under which bookings, services, associations, and agreements with Samarpan Resort & Banquet can be cancelled, and under which refunds (full, partial, or none) may be issued. This policy aims to protect the interests of clients, vendors, service providers, and the management and is governed by Bihar State Laws, including clauses related to consumer rights, vendor contracts, and operational force majeure.
  2. Scope of Application
    This policy applies to:
    • Event bookings (Weddings, Receptions, Celebrations, Social/Corporate Events, etc.)
    • Room reservations
    • Vendor and service provider agreements
    • Online and offline payments
    • Website and digital platform transactions
  3. Booking & Payment Terms
    • A minimum 30% advance is required to confirm any booking.
    • The remaining 70% must be cleared at least 15 days before the event date.
    • Booking is deemed final only upon receipt of acknowledgment and invoice from Samarpan Resort & Banquet.
  4. Cancellation by Clients
    1. Standard Cancellations:
      • Before 60 days of the event: 80% refund of the advance.
      • Between 30-59 days: 50% refund of advance.
      • Between 15-29 days: 25% refund of advance.
      • Within 14 days: No refund.
    2. Cancellations on Grounds of Emergency or Force Majeure:
      • Natural calamities, government restrictions, strikes, or pandemics (as notified by Bihar/India authorities) will be assessed on a case-by-case basis.
      • Refunds in such cases may be processed with up to 20% administrative deduction or may be offered as an event credit/rescheduling option.
  5. Cancellation by Samarpan
    Samarpan Resort & Banquet reserves the right to cancel any booking in the following cases:
    • Unforeseen facility unavailability (natural disaster, fire, etc.)
    • Violation of legal terms, including the Alcohol-Free Policy
    • Non-payment of dues or fraudulent transactions
    • Breach of conduct or any security concerns
    In such cases:
    • Up to 100% refund of the paid amount might be initiated, depending on the reasons for the cancellation by Samarpan.
    • Samarpan will not be liable for any indirect losses, including travel or third-party service costs.
  6. Third-Party/Vendor Service Cancellations
    • Services (photography, catering, DJ, decorators, etc.) booked through Samarpan but executed by third-party providers are subject to the vendor’s policies.
    • Samarpan is not liable for non-performance, delay, or miscommunication by third-party vendors.
    • In case of disputes, only the contracted vendor shall be responsible, unless booked directly via Samarpan under our in-house service offerings.
  7. Event Misconduct & Breach
    In case of:
    • Damage to property
    • Misconduct by clients or guests
    • Breach of the alcohol-free policy
    • Unlawful gatherings or nuisance creation
    Samarpan reserves the right to:
    • Cancel the ongoing event immediately
    • Forfeit any refundable amount
    • Impose a penalty for damages, to be determined by inspection
    • Initiate legal action, if needed
  8. Refund Processing Timeline
    • Eligible refunds will be processed within 10–15 business days from the date of approval.
    • Refunds will be made to the original payment method or via bank transfer as per internal processes.
    • Any transactional charges or bank deductions will be borne by the client.
  9. Change of Date/Rescheduling Policy
    • One-time rescheduling may be allowed with a written request made at least 60 days before the event, depending on the circumstances.
    • New dates are subject to availability.
    • If new dates are not available, standard cancellation terms apply.
  10. Digital Engagements & Online Bookings
    • Cancellations made via website or social platforms will be valid only when acknowledged via email confirmation.
    • Digital inquiries or pre-booking queries do not constitute a confirmed booking until formal documentation and payment are complete.
  11. Dispute Resolution
    • All disputes will be governed by the Indian Contract Act, 1872, and the Consumer Protection Act, 2019.

  12. Policy Updates
    Samarpan Resort & Banquet reserves the right to revise this policy without prior notice. The latest version will always be available on our website and reception.
